Speaker Checklist
✔️Verify Program Details: Check the AFAD 2024 Program for your session desciption and information. If updates are needed or missing, send corrections to Taylor Waters at Taylor@AVASummit.com
✔️Submit Speaker Info: Do you need to update your headshot? Please upload it here and email Amie Albright at Amie@AVASummit.com to communicate the request.
✔️Upload Presentation: Email your presentation to Taylor Waters (Program Lead, AVA International) by September 30. Please bring a backup on a thumb drive so as to not rely solely on WiFi.
✔️Check Slide Formatting: All formats welcomed in 9:16 dimensions. Organizers will use provided laptops for presentations.
✔️Presentation Logistics: Wireless mics, clickers, and timers will be provided. No personal laptops allowed for presenting. Organizers will provide laptops.
✔️Register: If you still need to register for the event (don't worry, it's free for speakers!), please email Taylor@AVASummit.com so we can register you as soon as possible manually. We need this information for our food and beverage and hotel venue contractual needs.
✔️Hotel Bookings: To book in the AFAD venue hotel, or receive support with suggestions for nearby hotels, please email our Event Manager, Alcila Abby, at your earliest convenience at Alcila@AsiaForAnimals.com
✔️Reimbursements: If you need a reimbursement, please reference the reimbursement process here, and/or contact our Travel Award team at: Travel@AVASummit.com for more information.
Moderator Checklist
✔️Connect with Speakers: Look out for an email connecting you with the speakers in your session. Review the session format and topics to coordinate effectively.
✔️Prepare Opening & Closing Remarks: Draft brief remarks to introduce the session, speakers, and topic. Prepare a closing summary to wrap up the discussion.
✔️Keep Time: Use the stage timer to ensure speakers stay within their allocated time. Remind them gently if needed.
✔️Facilitate Discussion: Guide the conversation, keep it on topic, and ensure all speakers have equal time. Prepare questions to prompt deeper discussion if necessary.
✔️Manage Audience Q&A: Organize and moderate audience questions. Ensure questions are clear and keep the session within the allotted time. Note that we prioritize questions on Whova; Please remind the audience to drop the questions into Whova whenever they get a chance.
✔️Coordinate Technical Needs: Ensure presentations are pre-loaded and ready. You’ll be provided with a clicker and microphone.
✔️Engage the Audience: Keep the audience engaged, ask for participation when appropriate, and maintain the session's flow.
